The Environmental Health Services (EHS) Division is seeking an Administrator I to provide important administrative support to the leadership and staff of the division. The selected candidate will perform a variety of operational and organizational coordination functions, such as scheduling, purchasing, planning support, financial support, hiring support, and problem solving. This position will report to and work alongside the Executive Assistant/Administrator II to the EHS Division Director.
The selected candidate is expected to learn and maintain knowledge of division needs and implement projects at the direction of the EHS Executive Assistant, which may originate from the EHS Director, EHS Deputy Director, senior management team, leadership team members, or other staff, while maintaining strict confidentiality. Projects and activities may include creating and implementing solutions and systems that support continuous improvement for division-wide issues; and managing and prioritizing numerous incoming requests with skill, including those from departmental leadership. With excellent communication skills, the selected candidate will also provide guidance/instructions to staff on projects and ensure consistent and timely follow-through. Strong people skills, high attention to detail, and follow-through is required.

Job Duties
Provide calendar and other admin support for EHS Assistant Division Directors and Finance Manager.
Provide general administrative support (e.g., room booking, travel support) to EHS Leadership team (currently 30+ members).
Assist in the development and/or revisions to administrative systems within the division to make them more efficient and effective.
Provide purchasing support for the division.
Support all-staff and leadership team meeting planning, preparation, and execution, including taking meeting notes, organizing on-line and in-person technology as needed and communicating necessary meeting follow-up.
Support administrative and process aspects of hiring and onboarding processes.
Organize, update and maintain electronic files using various software and systems, including SharePoint.
Help develop and administer tracking systems to support work activities at the division level; monitor and evaluate existing and newly developed administrative systems to support work activities at division level.
Prepare, format, proofread and edit a wide variety of materials, including briefing documents, correspondence, meeting agendas.
Provide administrative financial/grant support as needed.
Coordinate arrangements for meetings, teleconferences, and other events, including travel arrangements, and other necessary details.
Independently receive and resolve internal issues and questions.
Assist in data collection and analysis for assigned projects; prepare summary reports of analysis.
Put together training materials on processes and technical issues as needed.

Ability to maintain confidentiality and treat others with respect.
Experience applying equity and social justice principles and practices in an organizational setting.

Strong skillset in basic research and information gathering.

Work Schedule
This full-time position is subject to the provisions of the Fair Labor Standards Act and is eligible for overtime. The normal workweek is Monday – Friday. Occasional evening and weekend work is required.

Some of the work associated with this position will be performed through teleworking and will report to office location and to meetings as needed. Travel to other work locations may be necessary. Employees will have access to shared workspaces at various King County facilities. Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.
Employees will be provided with a County issued laptop and must maintain a workspace with an internet connection where they can reliably perform work and remain available and responsive during scheduled work hours.
To support employees during this time King County has a robust collection of tools and resources to support working remotely.
