Job Description:
Provide support to the RGY Site Leadership Team
Provide support to the Site Leadership Team and their respective functions including co-ordination and scheduling of meetings, consolidation of presentations, reports, etc.
Provide support for all site communication initiatives including organization of town halls, team meetings and maintenance of key noticeboards and digital display system around the site
Maintain minutes and action list of the Week 2 and Week 4 Site Leadership Team Meetings
Manage all Q&FS, HSE, MSE and other Reward and Recognition Programs on RGY Site in line with established procedures
Consolidate RGY Periodic Updates every period
Translate any global communication material and HSE/Q&FS communication materials on site to local language and coordinate with all stakeholders to ensure effective and timely communications
Maintain and implement all RGY Administration Procedures
Central point of coordination for all Site Tours for associates and visitors
Provide support during any internal/external audits
Provide support for all visitors
Provide assistance to the Site Leadership Team with day-to-day tasks
Coordinating all travel management activities for all associates at RGY site
Act as the designated travel coordinator for all travel requirements of RGY associates and implement all travel related procedures in line with the Mars travel policy
Ensuring that all travel is registered on iJet as per the Mars Global Travel Security Policy
Monitoring and providing updates on RGY travel, training, and expense budget on a regular basis
Co-ordinate all overseas visitor accommodation and travel requests to RGY
Co-ordinate all visa applications, invitation letters and other miscellaneous travel requirements to RGY
Coordinating all IFM activities on site
Ensure that the security agency is providing all security services in line with the contract and budget and raise to IFM Supervisor any issues or gaps with the security services on site
Immediately escalate all security events to the designated associates in the Site Leadership Team and have a monthly meeting with the security team lead to ensure close out of all events
Coordinate with the IFM Supervisor and Security lead to ensure all day-to-day events are managed in line with company procedures
Work with the IFM and Security Supervisor to ensure the facility CCTV system is operation as required and raise immediately to the Site Leadership Team any concerns that must be addressed
Monitor use of company vehicles in line with established procedures
Coordination of all security activities and request for special events, VIP visits, etc.
Ensure the garden contractor is conducting all grounds service maintenance work in line with the contract and ensure factory grounds are maintained to meet and exceed Mars GMP facility standards at all times
Conduct monthly audit of all grounds with IFM Supervisor to monitor compliance to RC standards
Coordinate with IFM Supervisor to ensure office, canteen, all locker rooms, and all associate facilities are maintained to ensure the cleanliness of the areas to established RC standards
Monitor the IMF invoices monthly to ensure that all charges are in line with the agreed contract
Coordination of all cleaning activities and request with IFM Supervisor for special events, VIP visits, etc.
Manage consumption and timely supply of site stationery in line with budget
Coordinating all site uniforms and locker allocation requirements on site with IFM Supervisor in line with Mars/RC GMP standards
Office, General Areas and Site Grounds
Oversee maintenance of all meeting and training rooms on site and coordinate with IFM Supervisor to ensure they are maintained in line with Mars Office Standards
Hold all associates responsible for always maintaining the Mars Office Clean Desk requirements.
Oversee centralized filing system/room for RGY site
Establish and maintain 5S Standards within all meeting rooms, training rooms, common areas and site grounds within the site
Establish and maintain the Visitor Corridor and various product and process displays to the established standards
Coordinate all tasks related to the site time and attendance system including data management in line with the established procedures
Coordinate the Year-End Tax closing for the site associates
Overall coordination of all events on site (Family day, Team building, etc.)
The key challenge of the position is to continuously improve administrative support functions provided to the RGY Site Leadership Team with a strong emphasis on achieving cost reduction and efficiency improvements.
