SOCR is seeking an experienced, highly skilled administrative professional to support the critical operational work of the department as an Executive Assistant. This is a great opportunity for an experienced administrative professional committed to equity and public service who thrives on the challenge of solving and managing complex administrative and business operations functions.
The Seattle Office for Civil Rights has a team of more than 30 city employees who work for equal rights and social justice in a fast-paced, dynamic environment. The Executive Assistant is part of the Administration team, which is a vital component to the successful operations of the office. This position will provide high level administrative assistance and support to the SOCR Director and Deputy Director. In addition, this position will perform a variety of administrative, operational, and budgetary functions that are complex and confidential in nature and will serve as liaison between the Director and other department Directors and SOCR Division Directors.
Job Responsibilities
Here is more of the work you will be doing:
Perform routine, complex, diverse, and confidential administrative duties requiring broad and comprehensive experience, skill, and knowledge of diversity and inclusion principles.
Schedule and prioritize calendars, appointments, contacts, and events on behalf of the Director and Deputy Director. Coordinate Directors’ participation and engagement with other departments, division teams and a diverse range of community partners.
Prepare, review, and edit daily communications, e-mails, correspondence on behalf of the Director and Deputy Director.
Schedule, coordinate, and facilitate in-person and virtual departmental meetings and retreats. Prepare agendas and presentations, coordinate meeting logistics, distribute materials, record and transcribe meeting minutes and capture action items for various meetings.
Oversee SOCR’s workplan and assign work to leaders as requested by the Director, monitor the progress of all deliverables, and ensure timelines are met. Keep momentum on time-sensitive projects, ensuring the Director and Deputy Director have visibility to critical decisions and/or deadlines.
Proactively monitors, tracks, and reports on department compliance with City contracting standards and processes. Advise and assist in the development of contracts, requests for proposals, and consultant selection. Reviews payments to contractors and supports contract and financial reporting for grants and contracts held by SOCR.
Serve as team lead or personally carry out special studies, projects, or reports; serve on task forces and committees to make recommendations on administrative or operational policies, procedures, or systems.
You will be prepared for this role if you have the following knowledge and skills:
Understanding of institutional racism, racial equity, and social justice principles with the demonstrated ability to apply this knowledge to daily work.
Expert level administrative skills that reflect a comprehensive knowledge of the administrative needs of executive leaders within a governmental agency.
Using technology to organize work, research details and issues, manage projects with tight deadlines, and solve problems.
Foundational grounding in administrative business processes with knowledge of fiscal management and budgeting functions including experience working with public sector budgeting, contracting and fiduciary compliance.
Exceptional interpersonal skills, ability to communicate positively and effectively with a professionally and culturally diverse workforce as well as with executives, community-based organizations, and government agencies.

Utilize a range of software programs or research tools, including but not limited to: MS Word, PowerPoint, Excel, Outlook, Visio, Microsoft Online (i.e. SharePoint Online, etc.), Adobe, CCMS, PeopleSoft 9.2, etc.
Qualifications
In addition to the ability to perform the tasks described above, you will need to possess the below required qualifications:
Two (2) years of professional experience as an administrative staff assistant, administrative staff analyst, or budget analyst, or a related field
A bachelor’s degree in business or public administration, a human services field, or related field,
OR
Three (3) years of experience as an administrative staff assistant, administrative staff analyst, or budget analyst, or a related field
An associate degree in business or public administration, a human services field, or related field,
OR
Four (4) years of experience as an administrative staff assistant, administrative staff analyst, or budget analyst or a related field
Additional Information
This full-time benefitted position is classified as an Executive Assistant in the City payroll system. This position is covered by Civil Service and is FLSA exempt (not eligible for overtime). The full salary range for this position is $47.57 - $55.44 per hour. New employees begin at Step 1 of the pay progression, which is $47.57 hourly. Current City employees starting rate of pay will be based on Personnel Rules regarding promotions.
This position offers the flexibility of a hybrid work schedule. Employees will be expected to work in-office two days a week. Individual schedules will be based on agreement between the employee and their supervisor.
