Job Description:

The Executive Coordinator executes a broad variety of administrative tasks for VPs and VPs-1. As these international executives travel extensively, the coordinator must be able to anticipate their needs with regard to scheduling travel and setting priorities, and maximize executives’ effectiveness by providing them with first rate administrative and organizational support.

The role requires judgment, discretion, and diplomacy in dealing with at times highly sensitive and confidential material.

This position requires strong initiative and a high level of energy and flexibility, as well as the ability to work independently, to multi-task, to establish and manage multiple priorities simultaneously and to be able to see projects through with limited guidance.

The associate must be self-motivated with excellent organization skills and experience and must remain composed under pressure.

Attention to detail is critical. The associate must be a fast learner and maintain a high level of professionalism at all times in a very fast paced and demanding environment.

Ability to work in a team environment is required.

What are we looking for?
Education & Professional Qualification
Bachelor degree in Business Administration or similar.

Knowledge/Experience
3 to 5 years secretarial experience in an international environment.

Excellent knowledge of English, both orally and in writing, and fluency in French and/ or Dutch are musts.

Computer literacy: mainly MS Office (Outlook, Word, Excel, PowerPoint), knowledge of ERP (SAP SRM) is a plus.

Ability to create and nurture the right network.

Communication skills (written & verbally).

Comfortable around higher management.

What will be your key responsibilities?
Organize extensive and complicated travel itineraries from A to Z. Arrange visa in a timely and pro-active manner if needed.
Manage complex calendars. Screen inbox of executives for a pro-active approach. Ensure communication is disseminated to all relevant parties.
Manage commercial process. Create Purchase Orders, monitor commercial process and budget.
Process expense reports and maintain tax files for international executives. Ensure that policies and procedures are followed.
Plan and deliver logistics and give on-site support for management meetings in an effective and impactful way.
