Overview



This position is responsible for the overall front office activities including the reception area, mail, facilities, and support for business development activities. They will work closely with Project Managers, Engineers, Designers, and Inspectors with requests related to projects. This position provides administrative / business development support for our local office as well as assistance to other TRC offices as needed.


Responsibilities

KEY RESPONSIBILITIES & TASKS include the following:

Provide overall office management support
Salesforce tracking on opportunity and proposal status, including followup with various staff to ensure correct information
Assistance with project accounting, including processing project reports, developing spreadsheets, monthly invoicing & payroll reporting, processing client & overhead invoices from this office to A/P, and monitoring budgets.
Preparation of documents, correspondence and proposals using Word and Excel applications.
Assistance with various technical project related tasks including ordering environmental due diligence database reports
Provide contract administration, which includes the review, processing and photocopying of billing and subcontractor vouchers and preparing subcontractor/subconsultant agreements. Maintenance of files, libraries, and reference materials.
Assist with project setup / updates in Deltek’s Vision software.
Assist Project Managers, Engineers, Designers, and Inspectors with requests related to projects.
Serve as the initial telephone and office contact for clients, vendors, service providers and visitors and will initiate follow-up contact as required and as needed.
Assist employees with training registration, applying & renewal of PE licenses for various states, expense reports, benefit issues and other requests as needed. Serve as a liaison with other Regional Offices and with the Corporate Office.
Organize special events: Townhall Meetings, staff meetings and holiday gatherings. Coordination of meeting schedules, appointments and travel arrangements, as needed.
Maintain records and organize filing & archive system to facilitate the expeditious retrieval of information as needed.
Front desk reception (greeting visitors, handling deliveries)
Assist with special projects requested by local or corporate office staff.
Other duties as assigned by manager.

Skill:

Strong Microsoftt Word skills. Profocient in Excel
SharePoint
Teams.
Strong verbal and written communication skills.
Must be a self-starter and able to work in an organized manner with limited supervision.
Must be detail oriented and organized.
Ability to manage priorities with various independent teams.
Must have a sense of urgency

Others Requirements:

5+ of experience supporting multiple project managers in an engineering
consulting
or construction environment
Bachelor’s degree or equivalent experience
