About the role
Employee in this job will perform and coordinate all functions associated with the day-to-day operations. Candidate will be responsible for handling documentation related to the engineering information management system. Will be the primary contact for receiving and converting project files into a structured, effective document management system.
This is a fully onsite opportunity in Lexington, MA.
What you’ll do
Ensure compliance with organization’s policies and all applicable standards and regulations regarding Engineering Documentation Control.
Provide documentation requirements to clients with receiving, copying, distributing, and tracking project documentation.
Develop and maintain procedures, policies related to all functions, and other documents for accuracy.
Provide administrative assistance and daily communications with the client and other employees/managers as needed.
Review ECRs, work orders, approve and reject tasks, notify initiator/author when completed.
Review and process documents as needed, while ensuring compliance with the company’s document control practices, and retention requirements.
Maintain SharePoint sites, project files, receive, and coordinate the review, approval, and process turn-over packages to electronic file repository at project completion.
Screen transmittals, project documentation, and turnover packages for compliance with policies, procedures, and practices.
Maintain/coordinate electronic document database and provide new user training as the need arises.
Troubleshoot issues related to documents being processed in document management system (Veeva/COMOS) and project related issues.
Oversite of the EDC (Engineering Document Control) group and functions.
Once trained, this person will be encouraged to be able to perform and train on all roles within the group.
On a regular and continuous basis exercise administrative judgment and assume responsibility for decisions, consequences, and results having an impact on people, costs, and/or quality of service within a functional area.
Serve as a general resource for all direct inquiries from a wide variety of constituents including providing information on related activities, policies, and procedures.
Work with team to prepare detailed drawings of building alterations and additions including plans, sections, and elevations.
Gathers supporting data and prepares detailed maps of institutional property which show dimensions and specifications of buildings, water lines, sewers, drains, and related information.
Monitor and ensure compliance in clients training system.
What you’ll need
Able to communicate clearly both verbally and in writing. Capable of working in a fast-paced environment. Experience in engineering documentation within Veeva is nice to have, drafting with emphasis on CAD Systems (AutoCAD required, COMOS nice to have) including some experience in the field of assignment and Associate Degree or equivalent experience in Engineering Technology supplemented by advanced course, work in engineering drafting; or any equivalent combination of training and experience.
